Grades 9-12 Post-Intake Meeting
All students enrolled through the Centralized Intake Process will be immediately activated in the database. (Their first day of school will be the date of their Intake Meeting, or if enrolled prior to the start of school, the first date of school for the new school year.) The Intake ES will e-mail the names and student numbers of students enrolled to stuassign@ieminc.org , enter any necessary student agreement information into the database, and mail the enrollment paperwork to IEM. When the office receives the e-mail, an e-mail will be sent to the ES letting them know that they have a new student. This same e-mail will be cc’d to the Intake Clerk to trigger the mailing of the intake documents in the student’s file. The student will be activated once the enrollment paperwork is received by IEM. The ES must contact the family within 24 hours once the e-mail is sent, and meet with them within 7-10 school days of the e-mail notice (except when school is not in session). The ES may choose to do a learning record meeting at this time, or may wait to complete the first learning record meeting at a later date within the first 20 days of school.
The ES must tell all parents when they call them to schedule their first meeting, to obtain a drop slip from their previous school. This slip must be collected at the time of the post intake meeting and mailed or faxed to CWCS Student Records: 1166 Broadway, Suite Q, Placerville, CA 95667- Fax 530 295-3583 within 2 weeks of the date that you receive the email notifying you of the student assignment. The drop slip is required for all students, even those who enroll before the school year commences. Here is a generic notification of withdrawal form that the parent may use when contacting the previous school. (If the student is coming from a homeschool situation and the parent has previously filed an R4 affidavit as a private school, they must write and sign a statement that they are no longer enrolled in the the private school and will not be submitting another R4 affidavit.) If you have any difficulties obtaining the drop slip from a parent within the two week deadline, please tell the parent that they will have to fax the slip in themselves prior to their next LR meeting or they may be dropped from the school. (Remember, the ES is responsible to remind the parent about the need for the drop slip when they phone to schedule the post intake meeting.) If the parent takes our drop form to the previous school, they usually do not have any trouble getting it signed so please recommend that to your parents.
Please note that students enrolling after the beginning of
school are told to not disenroll until they have
heard from their ES. If the start date on the student agreement needs to be
changed, the ES should print a new first page and submit it to IEM with a
note that it is a revised document. If a student is using curriculum that
is not purchased through CWCS, the ES should make sure that they are not enrolled
in another school (public or private) as stated in our dual
enrollment policy.
High School students will have their transcripts analyzed by CW Guidance and will be assigned courses. To see the placement recommendations go to “view” Students in FRED, and click on the student number, then click on the yellow “Placement Recommendations” button on the right side of the screen.(These courses may be changed, if needed, by the assigned ES, but it is highly recommended that they be followed. The transcript of the student has been reviewed and in some cases the previous school has been called to ensure proper course placement. If the assigned ES makes changes from an a-g class to a general class it should be done so with the parent’s approval and understanding that due to conditions such as geographic location and home situation the student would not be successful with the a-g course.)
At the first meeting, the ES should complete the Post-Intake Meeting Checklist. For this meeting, the ES will need the following forms and before the meeting the ES may want to review the linked policies and procedures.

The guidance counselor will review the student’s transcript and enter Placement Recommendations on the Student Detail page in FRED |
At the meeting, go through each item on the checklist and retain the form in the student’s file in case it is needed for ES or School Office future reference. Add any information from forms collected to the database and mark them off on the parent checklist.
