Dear Parents,

 

Since it's the beginning of the year, I thought I'd remind you about our purchasing policies.

 

1) If you request a service PO for classes, keep in mind that until it gets approved and is assigned a PO number, you may not start sending your students to the class unless you want to risk possibly paying out of your pocket.  I will do my best to let you know once it gets approved and provide you with the PO number so you know you are clear to bring your children to the class.  You can always double-check with the vendor to make sure they have a PO for the dates you requested.  If they don't have one, please double-check that your PO was approved with me first.  If it was approved, I will contact vendor relations to ask that the PO be faxed to them again so they know they are cleared to teach the class to your particular student.

 

2)  Please give me one week's notice for a service PO request.  This allows me time to enter it, do possible research for it (pricing verification, etc.), and gives the office time to process it.  I can't backdate PO's for classes that were already taken, as this is not allowed by school policy and school accounting practices.

 

3) At the beginning of the year, vendors for products are inundated with lots of orders from schools all over the nation.  When I receive your request to place a product PO, I enter it in our system within 2-3 days of receiving the information from you, and then the IEM office begins to process it.  They usually turn it around within 24 hours unless there's an issue with the PO that needs to be corrected.  Once I receive the items, I will bring them to our next learning record meeting.  If I received them earlier than our normal meeting time, you may come by and pick them up if you like. 

 

4) Product PO's automatically include 22% of the subtotal to cover taxes and shipping.  In most cases, the vendor amount is less, so when they invoice the difference gets put back into your account. It may not show up right away, as it is dependent on when they send us the invoice.
