ATTN ES:  Send out early May and then send reminders.  You might have learning record meetings in the month of May, but you will still need to meet one last time on the last day of school or a few days after to collect learning and attendance.

Dear Parents,

The year has passed so quickly, and we are nearing our last day of school! 

Our last day of school is May xx, and I will need to have one last learning record meeting with you and your children either that day (not before), or by (last day of school), May xx at the latest.  I plan to have an end of year gathering to get all rollsheets signed, and see final work so I can do your student’s final learning record.  Please let me know if you can attend this gathering on May xx at time at location.    I will provide directions and where we will meet specifically once we get closer to the date.

I also have you down for May xx for our next learning record meeting. Even though it may be only a week or two between this meeting and the last day of school, I am required to hold one last LR meeting either the last day of school or a few days following. 

Plan to bring your own lunch, a blanket or chair to sit on, and some teaching tips to share with other fellow parents.  Also, feel free to return school items that you are no longer using, as I can either find another family to benefit from them, or I can take them to the resource room.  Plan to load them in my car after the picnic.

Please RSVP by May xx to either the Learning Record picnic, or let me know if you need an alternative date after that to meet at our regular location.
