REVISED 10/2008

Noting sources for External Courses on Report Cards

for CWCS High School Students

(training video displaying below process)

In order to facilitate the addition of course information to the student's transcript when it arrives from colleges, ROP, or other institutions, IT has added a field on the report card layout for the ES to note the source of the external course. ESes must note in FRED the source of any course that is taken outside of CWCS.

The purpose of the note is to correlate any incoming course information from outside sources to the course assigned by the ES on our CW transcript, as well as to note to any future high schools or colleges, where the course was taken.

To make this note, after creating the report card, click on the field in the “external course” column. This dropdown will show the following options:

Community College

ROP

Adult School

UC

CSU

Online

For the following example we will pretend that we have an 10th grade student taking English 10A, taking the English 101 course at Community College.

We’ll choose Community College from the first dropdown.

Once you have made your selection, another dropdown will appear with the names of various institutions/programs for you to choose from. If your institution or program is not on the dropdown, you may double click on the field until you see a blinking cursor, and then type in the name of the external source.

We’ll choose MJC for this example.

After choosing the facility, double click in the field to add the course number that is assigned by the external source, if available. Not all institutions will have course numbers, but some will. If your source does not have a course number, you may leave it out.

We’ll type in English 101.

Do not click “ready” and “send” until the course is completed is ready to be moved to the transcript (usually at the end of the semester). Once sent to the transcript, FRED will take the name of the external source and the course number information and combine them so that the end result will show on the transcript.

For instance, the English course used as an example above would say:

MJC Eng 101 as the external source for the English 10A course.
