Preparing the Credit Summary
When a transcript has been entered into FRED, either from a Report Card that has been created and sent to the transcript for CW courses, or from courses that have been entered from other schools by the Student Records department, the ES must categorize (and in some cases sub-categorize) each course in order to have the transcript credit summary be accurate and up to date. This categorization should occur at the time that a student enrolls in CW (if a transferring HS student) and then once each semester after report cards are submitted (for all students).
To prepare a credit summary:
• Click on the Detailed Credit Summary tab.

DO NOT exclude any courses that have an F grade or zero credits, instead, clear
the Cat and SubCat values for any courses that have F
grades or zero credits. (The Credit Summary values are determined based on what
is entered into Cat and SubCat, so if they are blank,
that item is not calculated into the Credit Summary.) NOTE Repeated Courses: If a student earned a D or F in a course and repeats the course for a better grade, the original D or F grade will not be included in the GPA calculation, and the new grade will be used. In this case only, the ES should click on the "exclude manual" box to exclude the D or F grade from the GPA calculation, doing this will also exclude the course from the credit summary. It's best to consult with the Guidance Department if a student wants to repeat a course in which a C (or better) was earned.
• Exclude any duplicated courses or any courses that have more than 10 credits
for any given course title (since we can only count 10 credits for any course).
• Exclude any course with a religious title. We cannot count those credits
toward graduation.
Be sure to click "refresh" in the credit summary so that any excluded
courses can be omitted from the total requirements.

If the student has any courses on their transcript from other schools that have
not been assigned a growth area, please do this first or they will not show up
in the credit summary.
Assign a growth area for each course (do not
categorize the excluded courses) based on the Graduation
Requirements Menu. (1E, 2R 2E, 3R, 4R, 5R 5E, 6E, 7R 7E).
The number is for the growth area, and E is for Elective and R is for Required. Growth areas with only
"E" means that there are no specific course titles required.
The "R" courses are described on the optional Graduation
Requirements Worksheet.
The following Growth Areas have “sub-categories” that should be marked so that the new detailed credit summary will itemize the required and elective courses. When you have assigned a course with one of these growth areas, please click on the “Sub” box next to the course number and assign a sub category.:
2R (2.1 Life Skills: Computer, 2.2 Life Skills: PE, 2.3 Life Skills Health)
3R (3.1 History: World, 3.2 History: US, 3.3 History: Economics),
5R (5.1 Math: Algebra),
6E (6.1 Science: Physical, 6.2 Science: Life)
7R
(7.1 Special Interests: For Lang or VPA).
If you enter a sub-category for items not listed above, or for excluded
courses, that it will automatically clear itself because they made an invalid
choice.
To view the results, all assignments must be made before results will
tally. Once complete, the deficiencies will show up in red when you click the
refresh button.
Once applicable courses are sub-categorized, the credit summary will show the "remaining" credits required in red, and when you print the transcript, it will print with the new credit summary. If not all courses are sub-categorized, then the transcript will default to the old credit summary when printed. (At this time, only the unofficial transcripts will print with the new credit summary. The official transcript process is pending approval.)
Note
the following regarding each growth area:
English- needs 30 units of any English Course Title. Any course that bring the total over 30
units should have their category changed to “7E” to be included in Special
Interests.
Life Skills- needs 10 units of Computer/Typing, 20 PE, 5 Health, and 15
electives.
(Please refer to the Life Skills
Elective Planning Chart to be sure your student has met the standards for
this area) If they have more than the required number of credits, then you
count the extra credits in the Special Interest Area “7E”
(except for health which is a 5 credit course max).
History- needs 10 units of US History courses, 10 World Studies courses,
5 Economics. If there are more credits for these courses, then they may NOT be
counted in the Special Interest area. Ask your ES Advisor if you are uncertain
as to what courses count in any area. For example, World Geography is NOT World
Studies. Geography is a special interest course “7E”, and is not counted in the
history area.
Political Process- needs 5 credits of US Government.
Mathematics- needs 10 credits of Algebra I and 10 credits of another
math course.
Science- needs 10 credits of a physical science and 10 credits of a life
science.
Special Interests- needs 10 credits of foreign language or 10 credits
visual and performing arts (one full year of one course), and 50 credits
composed of any “extra” college prep, academic, or vocational elective classes.
Make sure that none of these courses are duplicates of courses from other
areas.
The above process should make the credit summary state the areas where your
student is “deficient” in the required number of units for graduation. Use this
to ensure that your students are taking all required courses for graduation.
