Surpass Library

 

Surpass is a web-based library system which allows our families and ESs to confirm online if a book is available, as well as to reserve items for future pick-up.  You may pick up curriculum items at either of our learning centers.  All questions and inquiries regarding the learning center libraries need to be sent to the following email addresses:

Patron ID and Password:

All library users must have a “patron ID” to check out materials; to use the online library services, you will also need a password.  The patron ID and password will be set up as follows

:

-Student
Patron ID = first name, last name (example Sue Smith = sue smith)
Password = student ID 

-ES
Patron ID = first name, last name

Password = ES code

All users will be prompted to change their password by the library system; please feel free to change your password.

 

Online Search:

1.         Go to CWCS Website http://www.connectingwaters.org/

2.         Click on Surpass Library and choose either Modesto or Ceres

3.         Search by author, title, keyword or subject (if title and author are unknown, use keyword search for best results.

4.         Browse results for your desired book

5.         “Book Bag” – use this feature to create and print a list of your desired books while at the learning center.
(note, using this feature will not place items on hold, but will show you what is available)

 

Limit: 

-ES – 15
-Student – 5 textbooks, 5 TEs, 5 resources, 2 reading Library books, 2 audio-visual, 2 equipment, and 2 games
-Consumables: Consumable workbooks will not be bar-coded and entered into the system; please feel free to come by and browse or call to check for a specific title.

Fees:  Damaged / Lost – patron will need to pay the price to replace the item.

 

Check In/Check Out and Return Policy:
Check-in:
1. Bring books to the library desk.  Please do not take books into the library.
2. Clerk scans book(s) into the Surpass system.
3. Clerk prints receipt of books left checked out.
Check-out:
1. Bring book(s) to the library desk.
2. Clerk scans book(s) out using Surpass system.
3. Clerk prints out receipt of items that have been checked out.


-If there is no clerk available to check-in or check-out books for you, please wait until one becomes available or find a clerk to help you. You are responsible for the books until they have been handed to a clerk for check in

-Learning center items must be returned to the same center that they were checked-out from. Bar-coded items may be returned at any time.
-Items that have been ordered by an ES with instructional funds must be returned back to the ES so that they can mark off the material list and be checked for damage and completeness. 
-When a student drops or transfers, the ES may email the learning center to obtain a list of the items checked out to the student, otherwise, when a student drops (or graduates), the drop email will be cc'd to the learning centers and they will check the Surpass Library for any items still checked out by the student. If the student has items checked out, an email will be sent to the ES and cc’d to studentrecords@ieminc.org that includes a list of the outstanding items. The student’s file will be flagged and the ES then has 10 school days to return the materials to the Learning Centers. Any materials not returned will be considered missing materials, with the necessary Missing Materials form submitted by the Learning Center.
-ESes must contact the appropriate learning center BEFORE transferring bar-coded materials to another student/family. If an ES would like to transfer a library book between students, they can do so by emailing the appropriate center, providing the bar-code number and item title listed on the bar-code label on the back of the text along with the name and ID number of the student they would like the item transferred to. For call numbers that begin with an ‘M’ contact Modesto LC and for call numbers that begin with a ‘C’ contact Ceres LC.

-You will always receive a patron status report when you check-in or check-out a book for a patron except if the patron does not have any books left checked-out in their name.  The system does not allow the staff to print or export blank reports, but you can request a printout of your history.   This will show that all books have been checked back in. This report acts as your receipt.  Please double check your receipt before leaving the center and keep your most current receipt in a binder or file folder for your records.  If at any time you need an updated list you may go into one of the learning centers or e-mail the libraries and they can print or e-mail you a copy. (see note below)

-Parents and ESes can contact the center libraries at any time during the school year to request a list of items that are checked out to their students. Simply send an email (Ceres Learning Center / Modesto Learning Center) to one of the libraries with a list of your student names and ID numbers and one of the clerks will generate a materials report and email it back to you. The report will contain all items checked out regardless of which center it came from so you only need to contact one of the centers for this report.


-The Due Date for all bar-coded items checked out when there is a summer session is the middle of September.

-The Due Date for all bar-coded items checked out for the current school year is Friday, May 20, 2011.

-When the centers are told that a person believes the books were returned or never checked out, the first step for the learning center staff is to thoroughly check the shelves for the items. There are several reports that the learning centers can run to validate that you have checked-in or checked-out books, including but not limited to: a daily report showing all item check-ins and check-outs for a particular date or range of dates, a history of books checked out by a patron, and a history of which patrons have checked out a particular book.  If you do not have your most current receipt, we will rely on these reports to investigate your situation.

-Please remember that you will be responsible for all materials if:
1. You leave books on the desks, tables, or other surfaces in the center without notifying and scanning the books in/out with a clerk and receiving a receipt. (Please remember, if someone picks this book up to check out, it will automatically flag as already checked out by our system. It is not possible to check out a book that has not already been checked in.)
2. You acknowledge that books were given to you by a family to be returned to the center for them.


-If there is an unusual situation where a family can not return the materials to the ES (a family is dropping and they are going to be in Ceres or Modesto), contact your advisor for approval. If approved by the advisor, notify the LC with an email (cc your advisor) that the family will be dropping items off at the LC. Include in the email:
1 - parent name and parent code
2 - student name and number
3 - approximately when the materials will be returned
The LC will email the ES when the items are dropped off. Please arrange to pick up the materials within five school days of receiving the email.

Important Things to Remember about Library Materials:
-Please allow time to check in your returned books and get a receipt. If you have a box of items or more, this could take 15 minutes or more depending on how many people are ahead of you. The Library desk closes at 3:45 pm each day so please plan accordingly.
-If an ES plans to check out books on behalf of their student(s), they will need to have permission from the parent to do so. This can be in the form of an email or written request from the parent. This is to ensure that the parent is aware of the items being put in their student’s name for which they are responsible. If an ES is unsure if the family will want or need an item they are checking out for them, the ES should put the item in their name and, if the parent decides to keep it, the ES can then email the center to transfer the item to the appropriate student by providing the bar-code number, title, student name and ID number (See transfer procedure above). If you check out books for a parent, we suggest that you request two copies of the patron status report. You may want to keep in your files one copy signed by your parent to acknowledge receipt of the materials and one copy can be left for the parent for their records. 

-Please inform all of your parents that they will not be able to check out items for the next school year until all Library materials from the previous school year are returned.
-An ES must include all Library materials still outstanding on their student’s Missing Materials list when the student leaves our school.
-ESes and parents who have overdue books from the Ceres or Modesto LC library for the previous school year will not be able to check out materials for the current school year until the over due books have been returned. If you have any questions, contact the learning center to find out if you have overdue books prior to trying to check out items. Thank you for your cooperation.

Online Reserve Policy

1.   Use the online search to find a desired book

2.   Click on “Reserve This” button

3.   Type in patron ID and password (obtain this from your ES or when you visit the learning center)

4.   Call learning center so the book can be pulled and placed on hold (see Hold Policy below);  failure to call can cause the book not to be held

 

 

Hold Policy

1. Call learning center

2. Clerk checks patron limit to verify it has not been exceeded.

3. Clerk will pull item, take out of circulation, and place on hold

4. Items must be picked up within one week

5. Items not picked up within one week will be

    returned to the shelf
