Instructor Policy
Instructor qualifications:
A. All instructors must meet the educational standards and be approved by the Education Specialist prior to instruction. Instructors must work with the Education Specialist to establish qualifications and define appropriate course Goals and Objectives and select state standards the course will meet.
1. Instructor must have appropriate knowledge for the course in which he/she is giving instruction
2. To evaluate knowledge in relation to instructor qualifications and appropriate pay scale, the Education Specialist will use any one or a combination the following areas:
· Credential in subject being taught
· Teaching experience
· Post high school experience in subject being taught
· Professional experience in subject being taught
· Work experience in subject being taught
· Volunteer experience in subject being taught
· Training in the subject being taught
3. Instructors teaching K - 8 academic courses are expected to have a level of education or background skills in the subject higher than those they are instructing.
4. High School academic course instructors are expected to have successfully completed a California Credential or completed a BA/BS degree in the subject area in which they are instructing.
5. Qualities necessary to successfully teach course work to students:
· Communication skills
· Age appropriate student management skills
· Experience, education or training in the subject in which they are instructing
B. All employee instructors must complete the credentialed or classified employment packet and meet all requirements for school employment prior to beginning instruction.
C. The instructor or school may cancel a course for any reason by giving a five business day written notice to the other party.
Instructor pay:
A. No pay will be given for a student admitted to a course who is not listed on the roster. Prior to be admitted to the course, all students must submit a CP Course Enrollment Approval form listing their name to the instructor. A student is not considered enrolled until the instructor receives this form.
B. In order for the instructor to receive pay for a student in the course, that student must be printed on the initial roll sheet from contract programs or the instructor must attach a CP Course Enrollment Approval form to the roll sheet.
C. The enrolled student’s Education Specialist will notify the Instructor if a student drops the class. Payment may not be claimed on the rollsheet/timesheet for a student after you have been notified of the student’s drop.
D. An ES who is also a school CP instructor may not be paid from the Instructional Funding account they control for their own children or other children who reside in their household.(These chilren may attend for free.)
E. A Classified CP Instructor (who is not also working in the capacity of a
school ES) with relatives enrolled in their CP classes must have an equal
number of enrolled school students as the number of relatives in order for the
class to be approved and for the instructor to be paid for serving the
relatives.
Employee Instructor
Responsibilities
A. Instructor must review, sign and return contract and received confirmation of receipt of the contract from IEM office prior to beginning course instruction.
B. When notified the IEM office has received the contract, notify students listed on the roll sheet of the course start date.
C. Call or email the Education Specialist if any question or problem arises with the educational aspects of the course.
D. Call or email Contract Programs if any question or problem arises with the non-educational aspects of the course. (530-295-3566 or cp@ieminc.org)
E. Billing Details
· Must submit the billing document monthly to the IEM office to receive payment. Roll/Time sheet must be received in the IEM office seven (7) working days prior to the last working day of the month. Lessons in this month later than this date should be billed on the next timesheet.
·
· Instructor will write any late enrollee’s name on the roll sheet and attach the CP Course Enrollment Approval form to the roll/time sheet prior to mailing it to be paid for late enrolling students
· Billing may take place for students enrolled even when student is absent, as long as they have attended at least one class.
· ES will notify Instructor of any students who have dropped the course; no further payment may be submitted after drop date for a dropped student.
· Mail or fax roll/time sheet, reimbursement requests, and supporting documents to the IEM office.
· Notify IEM personnel of any mailing address change immediately.
F. Billing reimbursement for material and/or facilities costs for a Classified Instructor or ES teaching a course (NOTE: A Classified Instructor is not an independent contractor, but a school employee.).
· A Classified instructor or an ES must have original receipts to be reimbursed and submit a Reimbursement form with the necessary attachments referenced below.
· Original receipts must be attached to the Receipt Submissions Form mailed in with the monthly course roll/timesheet to IEM.

· The amount being invoiced must meet the terms of the signed service agreement.
NOTE: Rollsheets/Timesheets are sent with the
original Contract Programs Contract. No further Rollsheets/Timesheets will be
sent to the instructor. Please make copies to submit for future payments.
G. Instructors must meet course goals & objectives and communicate to the parents and/or Education Specialists of their students what learning and activities are taking place in the course. Suggested grades and credits, if applicable, should be communicated to the Education Specialist.
H. Instructors are responsible for their students from the time they are dropped off for the class until the responsible party picks them up. Students may not be left unattended. An instructor may drop a student from their course if a responsible party is not picking up that student promptly. (Consult with the Education Specialist for help with this.)
I. Instructors MUST reschedule or cancel any course sessions that are scheduled and conflict with school required assessment testing in the same geographic locations. All missed sessions may be rescheduled with the students.
J. Books and non-consumable supplies are the property of the school.
