How
to Create A Learning Record (LR)
- Click on "CREATE"
- Choose "LR" from drop down list
- Click "Go"
- Click in box by "stunum"
where it says "click here to get drop down list"
- Your student list will appear, choose your student
YOU NOW HAVE TWO
OPTIONS FOR CREATING A LEARNING RECORD
PLEASE BECOME
FAMILIAR WITH THE DIRECTIONS IN OPTION ONE BEFORE PROCEEDING TO OPTION TWO.
Option
One: Click on "Create a New Learning Record for this Student"
- This option will create a new blank learning record
with the dates automatically going to the next 20 days following the last
LR period (or the first 20 days of attendance if no LR was previously
created).
- You can view the dates for the LR in three locations.
Train your eyes to
look carefully at these each time that you
are working in your LR files as all of
the LRs for each
of your students will appear the same except for these critical
date indicators. You will see the date
written across the top "for the period from
____to____". It is also written in the center colored
buttons "begin day num" and
"end day
num" with the dates after each. It is also listed in the gray and white
box
on the bottom left of the screen.
- To change the dates, if needed, to match your
attendance sheets, click on the "end day num" and scroll down
using the small black arrow at the bottom of the dates
field, click on the desired date. Note: using your keyboard’s "down" arrow,
causes the dates to scroll more quickly than when using your mouse.
- Enter the LR information in each applicable growth area
by clicking on the colored index tabs across the top of the page, (think
of it as an index card file). Don’t forget to mark the appropriate student
standards by clicking on the boxes below each growth area. A second click
will erase the "X".
- To get back to the initial LR screen, click on the "Attend" index
tab on the far right of the growth areas.
- Once you are done typing, you do not need to submit the
record. An LR was automatically created when you clicked the button "create a new LR for this student" at
the very beginning of the process. You can go back into this record at any
time to make additions,
changes, or deletions… but be careful! This is the only copy of the LR
unless you choose to type your LRs in a Word
document saved in your hard drive to copy and paste into the WEBfiles. The WEBfiles are
secure and won’t be "lost", but they can’t prevent human error
if you accidentally delete something.
- There is a delete button. If you accidentally push this
button, a message will come up and you can say "cancel". This
message appears two times asking you if you are sure that you want to
delete the record. Use this time to carefully scan the dates and the
student listed on the LR to be sure that it is the record that you want to
delete before clicking "yes".
- Please take the time to spell check your records to
correct typos and present a professional work product
- From this same front LR screen (the Attend. Screen),
- Click on "Spell check this
LR"
- A message box will appear that asks
you if you want to spell check it now, say "yes"
- Misspelled words will appear in the
top box of the spellchecker. You can choose to skip the word, ask the
dictionary to "learn" the word (especially helpful with names),
or you can correct the error by correcting it yourself in the top box or
by selecting a word from the options listed below and then clicking
"replace".
- If you want to see the word in
context, click on the "context" button
- When complete, click "done" and
the spell check box will disappear
- From this same LR screen, you may also choose to "duplicate this LR for the same dates".
You might want to do this if you have different students doing the same
assignments. Be careful
of personal name or gender reference errors.
Option
Two: Click on "Review Learning Records for this Student"
- This option may be chosen if you have previously
completed learning records for this student
- The front LR screen (the
Attend. Screen) will appear
- If the dates of the LR that you would like to view are
different than the dates of the LR that first comes up, choose the LR that
you would like from the bottom left box
- Click on "go to" beside the dates of the LR
that you would like to view
- (You can click "go to" and change from LR to
LR. The only things visibly changing, on the screen that you are viewing,
are the dates… but please understand that what is in the"index card
file box" – that is, in the growth areas - includes information
from different LRs with each click of the "go to" button.)
- In this view, you may choose to create a new LR using information from the previous learning
period. "Go to" the most recent LR.
- Click on the button that says, "Duplicate this LR
for next period".
- A message will appear asking if you are sure that you
want to duplicate this record, click on OK. (Look at the box on the bottom
left and you will see a new LR added to your list of LRs
for this student.)
- You have now created a new LR for this student. The
dates are different (and can be changed if necessary), but all of the
learning in the growth areas is exactly the same as the previous
(duplicated) LR. You may now go in and make applicable changes according
to new learning that has occurred, (also delete any learning not
applicable). This button is a helpful timesaver for some as you can use
the same structure set up in previous learning records. Make sure that you
change/mark applicable state standards.
Each
time that you create a new learning record, you should click on the button
that says "update
after date change" in the box that tells you that the next meeting should
be on or before the listed date. If you depend on this date, you must click
on the button in order to make it accurate. If you don't depend on this date,
then it doesn't have to be clicked.
Student and State Standards
Part of completing the learning record, is the process of indicating which
CA state
standards the student has made progress in each month. The grade level standards
for each student are displayed in WEBfiles for each student for every learning
record. If a student is working at a substantially higher or lower grade level
than is recorded in the database, this level can be changed (on the learning
record only) for the purpose of obtaining the appropriate standards. It may
also be changed for a student that is studying a topic that is not typically
studied at their grade level.The student standards
as found in the school charter are melded into the CA state standards.
To choose the standards:
-Click on the gray box under the grade level and choose a heading.
-Next, choose a subheading
-Choose all standards that apply by clicking on the standard number that apply
to learning activities completed for that month only
-Do all applicable subheadings, and then continue with the same procedure for
all headings in the growth areas that new learning has occurred.
-Check the "yearly view" regularly to check your
student's progress towards meeting the goal of demonstrating progress in
the Essential Standards each year.
Make sure that your documentation includes activities that demonstrate progress
towards any standards marked. (A marked standard indicates progress in obtaining
the standards not necessarily standard mastery.)
To view all your LRs:
1 - Go to webfiles - "View" "All LRs"
2 - Click on one student's #
3 - Click on "Show All" at the top of the page (this will bring
up all your
LRs)
4 - Click on "View Entire LR" (This will take you to a layout where
you can see the entire LR)
5 - At the bottom of the screen, there is a rectangle next to the word "Browse".
Click on the rectangle and it will open up a side bar. You will see a little
rolodex - which looks like an open book - at the top of the side bar. You can
go from record to record by clicking on the "pages" of the rolodex.
6 - At the top of the side bar you will see the word "Layout". Below
that you will see "ESViewAll" in a box. Click on "ESVIewAll" and
there will be a drop down list of layouts. Scroll up to "date code w att
date" if you want to see
all the LRs in a list view. Scroll back to "ESViewAll" if you want
to see the entire LR layout again.
7 - If you want to sort the records by student, then go to the top tool bar
at the top and click on "Records". Select "Sort Records".
You will get a box asking you what you want to sort. Select "Stunum" in
the box at the left and then "move" to the right of that box. Then
click on "Sort" at the bottom of that screen.
8 - If you want to only see the records of one student at a time, then click
on the word "Browse" at the bottom of the screen. Scroll up to "Find" and
then put the name or student # of the student you want to "find".
Then click on the word "find" in the side bar on the left.
9 - To go back to the original view, then click on the box at the top that
says "Go To Start LR"
