1) Dates to Remember
and Dated Duties
a) January 11, 2008: Electronic Report Cards Due for all High School and those K-8 students that have requested them according to their Student Agreements- Remember to mark the box on your high school report cards that says “done/YES” in WEBfiles by January 11th.

b) January 15, 2008: Financial Aid Workshop (see guidance news below for more info).

c) January
18, 2008: Preliminary Assessments- Due to be e-mailed to your ES advisor
by January 18th, all 2nd Semester Graduate and Summer School Graduate
preliminary assessments as described in the Graduation Procedure.

d) January
21-25, 2008 : 3rd Quarter Benchmark Exams and Writing Prompts-
Provide and explain to parents during this week or at the learning record
closest to these dates, and collect the optional exams and required writing
prompts at the following learning record meeting. 3rd Quarter Benchmark Exams
and Writing Prompts.

e) January 30,
2008: Mid Year Check
_
_
-All 10th graders MUST attend the February 5 and 6th CAHSEE administration.
-All 10th graders must have CAHSEE prep materials.
-It is the ES's responsibility to remind their
parents of these dates! Please review this with all 10th graders this month
if you haven’t already done so.
Our goal is to have 80% of our 10 graders pass the CAHSEE this year. Use
10th
Grade CAHSEE Prep for any student that the ES anticipates may need assistance.
A CAHSEE
notification letter with the student’s test site location, dates and times,
was mailed the first week of January. Please check that your student received
the information and email lbarlow@connectingwaters.org
if you have any concerns regarding dates, locations, or specific needs.

h) February
25 & 26, 2008: All ES Meeting and Parent Training will be held at
the San Joaquin Office of Education, 2707 Transworld
Please give each of your parents a copy of this Workshop flyer
and encourage them to attend on February 26th!
(ES arrival time for both the 25th and the 26th will be 7:45 as there will be ES trainings on both days at that time, even though the parent workshop does not start until later).
ESes, please bring your laptops if you are planning on taking either the Computer Organization or Filemaker Workshops.

i) February-March
2008: Scantron Post
test must be completed for all students. Here is the Scantron
proctor schedule. It is expected that all who can must test prior to STAR and only late
enrollees can test later.

j) February 29, 2008: Last
date for students to enroll for the 2007/2008 school year.

4, 2008: The CWCS Open House
and Science Fair

m) April 22, 2008: WASC Visitation. This is a one day
visit only. Remember to discuss the ESLRS/Growth
areas each time you meet with your students. If they are not on the parent
listserve bring them a copy of the ESLR of the month!

2) Things to Do
a)
1. Go to “view” All Students in WEBfiles to see that there are no overdues for attendance, learning records, or student agreements2. Click on the student numbers and look at each student’s attendance records to make sure that all rollsheets are in, with no gaps.3. Look at each learning record to make sure that the dates match the rollsheet dates. If the dates of the learning records do not match the dates of the rollsheets, you must change the LR dates. It is easily done be clicking on the track day (number under “beg” or “ending”), deleting that number, and typing in the correct track day number… the date will automatically change…ask advisor for help if needed!)Check here to make sure the numbers run consecutively… i.e.1-16 track days for first LR, the next LR should start with track day 17.4. Look at each learning record for sufficient content, new learning, appropriate standards marked, grade levels, and PLIPs and HQTs indicated when needed.5. Check for complete transcripts for HS students and that they align with learning records (if you’ve submitted a report card for a student, but no transcript appears, make sure that you’ve clicked the “done” button... if still not there, let your advisor know)6. Go to ES Sort Category view of transcript for each high school student to be sure the course levels are accurate.7. Check for report cards for K-8 students if applicable8. Check on any POs that have not been processed or received in a timely manner.9. When you've completed the above steps (please complete by Jan. 30), e-mail your advisor letting them know that it is complete using the Mid-year Checklist. We must resolve any problems now so that the end of the year checkout goes smoothly.

3) Training Items
a) Prepay POs
for Educational Activities: The Educational Activity
Policy has been updated to include the following statement: “POs for prepay
activities must be made for a specific month i.e. January1- January 31, and
not for an indefinite time period during the school year.”

c) Mid-year Grade
level changes for Remedial students: An addition
has been made to the High School
Grade Placement policy that states “Any mid year remedial grade level
changes must be completed before the deadline for first semester report cards
so that the student's STAR forms will be accurate.”
_
d) Dual Enrollment:
An addition has been made to the Post
intake information that states: “If a student is using curriculum
that is not purchased through CWCS, the ES should make sure that they are
not enrolled in another school (public or private) as stated in our dual enrollment policy.”
