The agenda quiz must be completed in your ES WEBfiles by 3:00 pm the day before the ES meeting.

1) Dates to Remember and Dated Duties

a) December 3, 2007:Computer Recycle Day at Learning Centers: An all ES listserve was sent regarding this Computer Recycling Day at the Learning Centers. Additional days will be planned in the future.

b) December 13, 2007: Graduation Ceremony Participation- Graduation participation forms are posted on the Guidance Page.(8th Grade, Senior/Cap and Gown.) and are due Dec. 13th. (Remember to mark in WEBfiles if they are participating or not.) (Please be sure that your Senior Grads get the grad planning info and following note, both were sent on the parent listserve: "We have received many inquires from parents regarding ordering announcements, extra tassels, etc. In the grad packets we received in our offices, they only had class ring information. The company usually sends us a packet with all of the information combined, but this year they decided to send out the announcement and extra tassel and such, in late January instead. So, we apologize for the error! If you would like to contact them directly: Academic Affairs/Balfour at (707) 399-9091.)"

Students who desire to participate in the graduation ceremony must take two out of the first three sessions of the CAHSEE (and pass the test) during their senior year (unless the exam has been passed). Summer School grads may not participate in the ceremony, but may attend the following school year.

c) January 11, 2008:  Electronic Report Cards Due- Remember to mark the box on your high school report cards that says “done/YES” in WEBfiles by January 11th. If you have more than one report card for a student in your WEBfiles, it will appear that you are attempting to submit too many credits. Please make sure that you delete any invalid report cards.

d) January 18, 2008: Preliminary Assessments- Due to be e-mailed to your ES advisor by January 18th, all 2nd Semester Graduate and Summer School Graduate preliminary assessments as described in the Graduation Procedure.

e) January 21-25, 2008 : 3rd Quarter Benchmark Exams and Writing Prompts- Provide and explain to parents during this week or at the learning record closest to these dates, and collect the optional exams and required writing prompts at the following learning record meeting. 3rd  Quarter Benchmark Exams and Writing Prompts.

f) February 5 & 6, 2008: CAHSEE

-All 10th graders MUST attend the February 5 and 6th CAHSEE administration.

-All 10th graders must have CAHSEE prep materials.

-It is the ES's responsibility to remind their parents of these dates! Please review this with all 10th graders this month if you haven’t already done so.

Our goal is to have 80% of our 10 graders pass the CAHSEE this year. Use 10th Grade CAHSEE Prep for any student that the ES anticipates may need assistance.

A CAHSEE notification letter with the student’s test site location, dates and times, will be mailed the first week of January. (Note addition about 10th graders who do not pass the CAHSEE). The ES has access to the test site now if you have any concerns regarding dates, locations, or specific needs.

g) February 25 & 26, 2008: All ES Meeting and Parent Training will be held at the San Joaquin Office of Education, 2707 Transworld Dr., Stockton, CA. Monday, February 25th will be for ESes only (ES arrival time for the 25th will be 7:45). Tuesday, February 26th will be for ESes and Parent Training, and will include the Career Expo. Let your parents know and have them reserve this date!

h) March 4, 2008: Science Fair- New this year! CWCS will have it's first science fair scheduled for open house, March 4, 2008. Any ESs who are interested in being judges please contact Sofia Oldmark soldmark@connectingwaters.org. Project boards are available at each learning center for your students to pick up

 

i) February-March 2008: Scantron Post test must be completed for all students. Here is the Scantron proctor schedule.

j) April 22, 2008: WASC Visitation. This is a one day visit only. Remember to discuss the ESLRS/Growth areas each time you meet with your students. If they are not on the parent listserve bring them a copy of the ESLR of the month!

2) Things to Do

a) First Semester ends December 19th. Some end of the semester duties include:

-E-mailing your advisor to let them know if your December Grads met their requirements. (December grads who do not pass the CAHSEE, will not be allowed to participate in the graduation ceremonies. We want to encourage these students to stay enrolled for an additional attempt in the Spring.) If you have a December Grad that desires to participate in the ceremony and has passed the CAHSEE, please be sure to mark this information in the Student Detail Page.

-Completing all report cards for first semester by January 11. Print and provide transcripts and report cards to those parents that would like them.

-(If you haven’t already done so,) notifying Shara Langford at stuassign@ieminc.org of any grad drop that you would like to have replaced with a new student. Please list the student name and number of the potential Dec grad, along with the fact that this student will be a graduate.

-Late notices will be sent for 2nd semester student agreements beginning December 7th. They were due November 16th. If you have any questions, please consult your ES Advisor.

b) 1st Semester Portfolios due at December ES Meeting.

-Portfolio Information, Portfolio Review, and Sample Q&As.

Remember, as stated in the portfolio information, "two of the required graded writing samples may be the Reading/Writing Growth Area samples and the other two writing samples are kept by the ES in the students file", so for this review, only one graded sample is needed in the portfolio so far, and it may be part of the reading/writing growth area samples or it may just be placed at the back of the other samples.

-Each ES must print their ES Portfolio Checklist from WEBfiles ( "create/print portfolio list") and a Portfolio Review. ESes will participate in a peer review for all 1st semester students. The AF will collect the reviews, and after photocopying them, will return them to the ESes at the January ES meeting.. Any necessary revisions/changes needed should be written on the review so that they can be checked again in April for compliance.

The AF will share the information in the meeting summary.

5- all portfolios completed according to portfolio policy (exceptions can be made for transfer students and for students newly enrolled within the last 20 school days.)
4- all except 1 or 2 portfolios completed according to portfolio policy
3- most (more than half) completed according to portfolio policy
2-less than half completed according to portfolio policy

0- no portfolios available for review

c) HQT Access portolios: Please remind your students that are participating in CW HQT Access to submit their midterms and portfolios for first semester to the HQT as detailed in each of the HQT's Access information.

d) HQT 2nd semester Department Courses: The second semester courses for all year long HQT Department Courses have been created in WEBfiles based on the 1st semester enrollment. If your student was enrolled in the first semester, then they should now automatically be listed in the database as enrolled for the 2nd semester. Please check WEBfiles to be sure that the appropriate students are enrolled. Add or delete any students as needed. Here is a document with all HQT courses "rolled over" to second semester for your reference. These numbers have been added to the documents on the website.

e) Worldstrides Washington DC trip The date has date changed, and it has now been opened up to all CW 8-11th graders.

f) Letter and Surveys to be mailed: Parents and students will be receiving a parent survey / student survey from the school to evaluate their ES, the school support staff, and the administration. Take time to read through the survey in case your parents and students have any questions about it, and also to acquaint yourself with some things that you may not have done for your parents/students and yet have time to do!

h) CW December Newsletter is posted for you to read and to share with your families. (An abbreviated January Newsletter will be mailed to each parent.)

3) Training Items

a) Dual Enrollment/Drop Slips: An addition has been made to the post intake checklist and the post intake meeting information that state that the parent has provided the ES with a drop slip from the previous school if enrolling after the start of the school year.

"Please note that students enrolling after the beginning of school are told to not disenroll until they have heard from their ES. The ES should tell the parent when they call them, to obtain a drop slip from their previous school. This slip must be collected and placed in the student file at the time of the post intake meeting. If the start date on the student agreement needs to be changed, the ES should print a new first page and submit it to IEM with a note that it is a revised document."

b) Accidentally Damaged or Broken Items: An addition has been made to Family Inventories regarding items on the ES materials list that are accidentally damaged or broken- "ESes must collect all materials when a family leaves the school, even materials that have been damaged or broken."... "If the items are accidentally damaged or broken: For items on ES materials list in WEBfiles, the ES must contact cwcs@connectingwaters.org to make arrangements for delivery of the item to the Waterford Office. Notation of this delivery should then be made by the ES on the materials list in WEBfiles. Computers are considered "broken" if they are still under warranty and not able to be repaired/refreshed. If not under warranty, they will be classified as "obsolete" and can be recycled as indicated in the Computer Refresh/Repair Policy. For all other materials not on the ES materials list in WEBfiles, the ES must track in their own student files and dispose of the materials if no longer able to be used."

c) Plagiarism

c) Surpass Library information:Further clarification has been added to the Surpass Library Info and the Missing Materials document in the ES manual. Clarification italicized in quote and additions were made to the transfer/drop checklist as reminders: "When a student drops or transfers, the ES may email the learning center to obtain a list of the items checked out to the student, otherwise, when a student drops, the drop email will be cc'd to the learning centers and they will check the Surpass Library for any items still checked out by the student. An email will be sent to the ES for assistance in collecting the items for the center."

d) Basic Courses: Basic Courses are for students reading below 5th grade and who score far below basic on the STAR ELA portion). Using the Individual Learning Plan Checklist, and the Course Level Placement form, ESs may not assign basic course work for any student that reads 5th grade or above or scores above far below basic on STAR ELA.

e) Note Regarding Bob Monroe’s Spanish: For students taking Bob Monroe's Spanish courses- list the course on the transcript as "a-g Spanish 1", etc...then document the text on the LR with a statement in parenthesis (a-g approved per Sherri Nelson)

f) NCLB Teacher Requirements

HOUSSE I: If you have a Master's degree in Education and five years experience in Independent Study, you may be eligible to HOUSSE in all core subjects.

HOUSSE II: This option is still available this year.

g) Seasonal Holiday Activities reminder: Please remember that as the holidays approach, when we document the activities in the learning record, we should not write “are making Christmas gifts, cards, or decorations”, but instead write specifically what they did or mark the specific standards addressed: Completed a woodworking project? Drew and colored pictures? Created a project using paper mache’? Copied the art technique of the Impressionists? Did cut and paste activities? We are not paid ADA to “create Christmas items”, but to do something like the activities listed. Please do not list any seasonal holiday description. If the student studies the meaning and origin of Christmas and/or Hanukkah, this is only appropriate to list on the LR if the student is studying holidays of all the major world religions this school year.

h) New Ceres Learning CenterClerk: Janie Severin is no longer a clerk at the Ceres Learning Center. However, she is still an employee and teaches CP courses and is the Yearbook Advisor. We are pleased to introduce our new site clerk, Julie Hutto. She has been busy with training and is looking forward to assisting our families and staff.

i) HQT Tracker: An HQT table was created by ES Cathy Moretto to help keep track of her high school student's HQTs. This is posted on the forms page, under Student, optional organization forms. Thank you Cathy.

4) Messages from School Departments

Assessment News from Leita Barlow and Jodi Leonardo

*STAR (Standardized Testing and Reporting): We are gearing up for our STAR testing in the Spring by ordering the tests specific for each grade, assigning test sites, and working on addressing our students individual needs. A letter with the student’s test site location, dates, and times will be mailed the second week of January. The ES has access to the student’s test site now if you there are any concerns regarding dates, locations, or specific needs. Check your student’s assigned test site. If there is a valid need to change the test site, select “I have a concern” and write in the text box the change needed. We will continue to strive to provide transportation for students that have exhausted all other means of getting to testing. We have one school van and many areas to cover so please communicate with your students as soon as possible if there is any possibility of a need for this service so that we can prepare. Please read the information on the Assessment Page on the CWCS website. There are charts showing which subjects each grade level will be tested on, the number of test items and the time allotted per test, test site information, student behavior policy, suggestions for parents/students to prepare for a successful testing experience, and links to resources offered by the State of California for test preparation such as study guides, blueprints, and released test questions.

*The October CAHSEE results have been entered in the database (ES WEBfiles). The hard copy results have not yet been received. They will be mailed to the students and their ES as soon as they arrive.

*Inactive Rollsheet: HeatherAnn Dawson created a way for ESes to create printed rollsheets for dropped (inactive) students. When they go to create a rollsheet, it will default to the active students but they now have an option of choosing “inactive”. The inactive rollsheet section though will not retain a record of the rollsheet as it does for the active students, but it is still nice that the ESes have access to print if needed.

*Computer Repair/Warranty: A change has been made to the Computer Repair policy, allowing repairs on CW owned computers that are no longer under warranty if the ES and the school computer vender determine that the computer is worth repairing.

 

5) ES Networking

a) Create a list of tutors that you would recommend as being dependable, knowledgeable, prompt, etc. and this list will be shared and sent to all AFs for networking amongst the groups.
