CWCS November 2006 ES Agenda

Please read the agenda, along with each of its links (links available in ES Manual for future reference).

The agenda quiz must be completed in your ES WEBfiles BEFORE 3:00 pm the workday before your ES meeting.

 

1) Dates to Remember and Dated Duties

a) November 9th: ES Evaluation Goals for last year-Enter into WEBfiles, on the ES Detail Screen, by this date for your Advisor to review, a brief written progress report on how you have met your ES evaluation 2006 goals to date and what you expect to do next semester. If you are a new ES this year, this will not apply to you.

b) November 13-17th: 2nd Quarter Benchmark Exams and Required Writing Prompts- Provide and explain to parents during this week or at the learning record closest to these dates, and collect at the following learning record meeting. Thank you ES Cathy Moretto for the description of the Writing Application Standards covered on the California Writing Standards Tests for 4th and 7th grades.

d) November 17th: 2nd Semester Student Agreements- The 2nd Semester Student Agreements will need to be postmarked to IEM Student Records by November 17th. Another Assessment Confirmation form is NOT required for the second semester, just the student agreement. Please remember to staple the two pages together to help the records department.

Courses on Student Agreements: The courses assigned by Mary Halter for students that have been enrolled through Centralized Intake are recommendations. If the assigned ES would like to make changes, the report card can be modified without having to send in a new student agreement.

d) November 29th: Book Bonanza Workshop

e) November 30th: Grad Packets- Graduation Packets to be postmarked to your ES advisor by this date. If you have a potential graduate that does not yet have a copy of their final and complete transcript in WEBfiles, please be sure to ask your advisor for assistance in how to obtain a transcript from a previous school.(If you have a student graduating in May, you should be checking that their transcript has all previous schools listed now, so there is not a problem when preparing the grad packets for next semester.)

f) December 12th: Graduation information- Graduation participation forms are posted on the CW Forms page for 8th Grade Participation, Senior Participation, and Cap and Gown Orders. Please give these to your potential December and May graduates now, as they are due no later than December 12th. Thank you! (Remember to mark in the database if they are participating or not when you collect the forms.)

g) Feb. 22, 2007 All ES meeting and ES/Parent Workshops. (ESs will meet from 8:30- 3:00).

h) Feb. 28, 2007 Literary Conference for 6th, 7th, and 8th grades: Some of your families/students may be confused and think that they can not participate in the Literary Conference unless they submit an anthology piece. This is not the case! This is a wonderful opportunity for your students to enhance their writing skills and meet a real author! They will attend Waterford Middle School until 1:05 pm. Their lunch will be provided. Show this to your junior high students at your next meeting and encourage them to attend and get their applications back to Sherri Nelson asap.

2) Things to Do

a) 2nd semester funding: We expect to deposit 2nd semester funding approximately November 16th. Funding should be available at that time for you to begin placing orders for materials, services, and activities for 2nd semester. As soon as it’s deposited, don't forget to submit service POs for 2nd semester and set up any continuing classes in CP setup for 2nd semester. You can find the class from the 1st semester, click the “duplicate” button at the top of the layout, and make any needed changes to dates, standards, etc. This duplication is not for POs, but is only for CP set ups. Remember to consult the IF chart in WEBfiles ("View" IF Calcs) for any students enrolling after this date.

b) November CWCS Newsletter: Remind your parents of the November CWCS Newsletter, and for those parents that do not have internet access, have a copy available for them to read. Some ESs commonly print portions of the newsletter that would be interesting or apply to specific students; this is an excellent idea!

c) Learning Center Information:

-ES Learning Center Guidelines

-Please inform your parents about the learning centers with our new MLC and CLC flyers and MLC and CLC Class Lists.

d)  Phone and Address Update: You must regularly update phone and address information for your students when they change their phone numbers or residence. Please do this with your parents at your next learning record meeting. Remember to use the email: stuaddresschange@ieminc.org to update their records. Office staff often call your parents, and many times the phone numbers are disconnected.

e) Primo pdf: You can get a free pdf creator from Primo Pdf. Very handy for sending documents via email, even documents from Citrix (before opening Citrix, you will need to choose the Primo pdf as your default printer).

f) Parent Checklist: Just a reminder, as you meet with newly enrolled students, to use the WEBfiles parent checklist ("view" parent accounts, parent checklist yellow button on top) for your record keeping.

g) WASC ESLR Surveys: WASC ESLR surveys should be completed for all newly enrolled families this school year. Please bring them to the all ES February Meeting. The survey can be found on our school specific forms page.

h) CP Course Drops- When a student drops from a CP course, and cp@ieminc.org is notified… please also remember to notify the CP Instructor!

i) December Graduates’ Scantron- Learning Centers’ Proctor Schedule: You must post test all of your December Graduates who have been enrolled since 9/11/2006 (even if 12 weeks have not passed since their pre-test). Students enrolled after 9/11/2006 must have a minimum of 12 calendar weeks between their pre test and their post test. We will be post testing ALL other students in January and February.

3) Training Items

a) Post Intake Checklist: The CWCS Post Intake Checklist that was covered in the August Agenda, has been changed to include the school newsletter and the parent list serve. Although these items may be covered at the Intake Meeting, it is still the ESs responsibility to check to make sure that they were done. Sometimes the parent does not have internet until a later date, or doesn’t know their email address at the time of the intake meeting.

b) Minimum Acceptable Credits: If you have a student that is earning less than 25 credits a semester (or a proportionate amount for late enrollees) due to a student's lack of work and effort, please email your advisor immediately. Thank you!

c) Two ESs for One Family: Sometimes one family may have two ESs. Siblings can be very different, and some children due to varying grade levels, personalities, or educational needs, perform better with different ESs. If this is the case for one of your families, please be sure to order any POs BY STUDENT NAME rather than by family name so as to avoid accounting nightmares.

d) HQT Updates (Do not panic!!!):

i) HQT Link: For information on accessing Nicenet or other HQT information see the link in the ES manual under "Learning Choices" NCLB Highly Qualified Teachers.

ii)
To Remove Student from HQ Dept. Course: Contact Cary Sharp cp@ieminc.org to remove a student from a HQ Dept. class. We will assume that students will be continuing for next semester unless you email the Dept. ES and let him/her know that your student will not be attending next semester. We will not be making new CP courses for second semester.

iii)
Enrolling Students: Dept. ESs will accept new students now and for second semester but you need to email the Dept. Chair that a new student will be enrolling as well as enrolling them in the CP course. Remember each department will be reviewing certain standards during their class/tutoring/office hour sessions so your student does not have to have the suggested curriculum to enroll in the classes. It would be preferred but not required. Please email the Dept. Chair and provide the following information:

iv)
HQT session grading to include 25% of grade. The HQTs will be providing a midterm and final or final project for each course.  This will provide 25% of the student’s grade for the semester.

v) HQT Grades and Credits- Under NCLB and HQT requirements, the HQT is required to assign the grades and credits for the student since the ES may not be qualified in that core subject area. The ES must collaborate with the HQT/CP Instructor for any core High School course taken (including Algebra) so that the ES can input the grades and credit on the student's report card.

vi) NCLB HQ Teacher Requirements- Read and review the NCLB Requirements. We would like to encourage any ES that would like to expand their ability to be NCLB certified in several subject areas, to please read both HOUSSE Part I and Part II and consider applying for additional certifications. The more subjects a teacher is certified for, the less they will have to collaborate with other teachers for their students' education. After July 1, 2007, the HOUSSE Part II will not be available. (Please note that an ES must be NCLB certified in a subject in order to be considered their students' HQT. Each student receiving high school credit in core subjects must have access to a HQT).

vii) Student Agreements and HQT- An additional page will be added to the Student Agreement with the signatures of any HQT/ HQ CP Instructors employed by CWCS (not service vendors) who have been or will be providing educational content/grades/credits to your student (i.e. enrolled in HQ Session or CP course). Provide a signed addendum for each student receiving additional assistance each semester (we will be asking for an additional page for both first and second semester of this year.). If you are able to obtain the signature for this year’s student agreements (for both first and second semester) prior to our February all ES meeting then please do so. However, if you need several signatures then you may obtain the SA for both first and second semester at the all ES February Agenda meeting. Here is a list of HQT instructors who can sign for each of the subject areas.

Second Semester SA must still be mailed in by November 17th. The additional page can be obtained at a later date and will be collected at the February all ES meeting.

viii) Document HQT on your learning records: Starting with your December learning records, begin documenting how are you meeting the HQT requirement for your student. Write simple phrases: "HQT Dept. Course"; "HQT CP class at learning center"; "HQ tutor", "HQT online course", "HQT ES" etc. If HQT has been made available but the parent/student are not chosing to use the resources, you must write "HQT denied by parent". The HQT notations should be included in all core growth areas on each learning record: English, Math, Social Science, and Science, for all students taking HQ dept. or High School level courses.

e) Portfolio Samples: Remember that ALL portfolio samples must come from items that could have been purchased by CWCS.

f) Professional Growth Requirements/ SB1209: Beginning January 1, 2007, the renewal of professional clear credentials will no longer be linked to professional growth requirements. This new development affects teaching and service credentials including Designated Subjects Credentials. The removal of professional growth as a credential requirement includes both the 150 hours of activities and the experience requirement. Child Development Permits will maintain a professional growth requirement for renewal.

g) Sample PLIPs: Here is a collection of Sample Plips taken from learning records. One has been chosen as the "Super Star PLIP". Great work all!

h) October 2006 ES Agenda Compilation: Great networking occurred at the ES meetings in October! The October Compilation includes the answers to some of your questions as well as the networking topics compiled for your review. This information will be passed on to the appropriate departments and compiled for your convenience in the ES manual. Thank you!

i) Spelling Bee finalists: Congratulations to the Spelling Bee finalists! We would like to thank Jeni Richline and Pam Armstrong for being minute woman and making this happen for our families!

4) Messages from School Departments

a) ASSESSMENT

- Assessment news from Leita Barlow and Glenna Miller

- Remember all 10th graders MUST attend the February 6 and 7th CAHSEE administration. It is the ES's responsibility to remind their parents of these dates!

b) CURRICULUM

-Curriculum news from Lori Freeman- lofreeman@connectingwaters.org

-Provide test prep materials for all students grade 2-11.

 Options-

1. show parents how to print off and use the benchmark exams in Edusoft

2. Order Test Prep Material this month for all students grade 2-11.  Assign students to complete a certain amount of pages daily until STAR testing;

3. Sign students up for test prep classes at one of the learning centers

4. Make sure that all CAHSEE 10-12 grade students have and are daily using test prep materials.

d) IT

-New IT Contact List  CWCS is responsible for the items marked IEM. All other services outside of what is on the list will be the responsibility of the ES.

-The following were new additions to the database in October:

-Credential expiration date shows on ES detail screen

-ES can print all portfolio checklists at once by clicking on print all button on report card screen

-To view all POs for one family, click on parent accounts/summary for a button to view all POs

-To view Service POs first, click on view POs, and click “sort service POs” to have the service POs appear at the top, you can toggle back and forth from service to product.

e) VENDOR RELATIONS

-Backdated POs for Service POs: Remember to check your POs regularly so that you can be sure to submit them in a timely  manner. Service POs cannot be backdated and therefore must be accurately submitted prior to the first day of the course or activity!

-Larson Math- Larson Math used to be a vendor, but has been purchased by Great Source. You will need to put the parent's email address in the body of the PO (or the ESs if AESS).

-The Write Hand

- HiMAP New Math and Science tutoring option!

- DIVE cds: The DIVE cds that correspond with Saxon Math have been disallowed due to sectarian content and sectarian publisher- Genesis Science inc. If you have purchased any of these cds for you families, please collect them and do not give them to any other CW family.

5) ES Networking

a) Based on the directions in the All ES email on Friday November 3rd share your experience with the HQT class that you attended with your group. Be sure that you consult both the Nicenet/Elluminate directions as well as the More tips for using Nicenet/Elluminate. Would you like to learn to use Elluminate for your AESS students?
