CWCS Policies, Procedures and Information for Summer School 2007

A. This year, summer school will be referred to as Summer School '07. Current education code states, "a student shall be considered to be enrolled in a grade immediately upon completion of the preceding grade." For example, a student who completes 6th grade on May 18th, 2007, shall be considered to be enrolled in 7th grade if enrolling in summer school. (Note: 8th graders become 9th graders, but if they are doing remedial work, e.g. finishing up 8th grade work, then they do NOT receive high school credit. If they have completed their 8th grade work and are doing high school level work, then they earn credits in summer school.)

Summer School is designed primarily to improve student performance in the core areas of reading, writing, and mathematics. Therefore, summer school students must enroll in these core courses/growth areas. Students whose test scores so warrant, may enroll in courses other than reading, writing, and mathematics, but such enrollment is extremely limited.

Students enrolled in CWCS summer school cannot be concurrently enrolled in a community college.

If enrolling, 1st – 8th graders must enroll for two classes (aka growth areas).

Students taking high school courses must attempt 10 credits.

B. Summer school begins Tuesday, May 29, 2007, and ends Tuesday, July 10, 2007, for a total of six (6) weeks (30 school days). Note: the regular school year ends Friday, May 18, 2007. Also, no school Wednesday, July 4th (Independence Day).

C. Regular School Year ESs should tell their students about summer school. If any of their students are interested, the ES should help the family fill out the Summer School Request Form (one form per family) and send it to the address indicated on the form. The Summer School Request form should be received by the office by Friday, April 20th. Upon receipt of the Summer School Request Form, student assignments will assign a student to a Summer School ES and notify the regular school year ES of the assignment.

The regular school year ES is responsible for creating a high school or grade school Summer School report card in ES Webfiles. Be sure to select semester SS, and the courses that the student needs to take in Summer School according to the supplemental program they have signed up for (see D). For high school, also include the number of credits the student is attempting for each course. Do not add the grades at this time - the Summer School ES will complete the grades at the end of Summer School (the Summer School ES will also adjust the number of credits, as appropriate).

D. Qualifying Programs:

E. Regular school year ESs are encouraged to provide their students enrolled in summer school with materials purchased through regular school year instructional funds (IFs). In order to assist with accuracy and continuity of a student's educational program, the regular school year ES should place Summer School orders (using regular school year IFs) by April 20th. When placing a Summer School PO, choose "SS" in the PO dropdown box.

For students with no remaining regular school year IFs, their assigned Summer School ES may use their Summer School IFs budget (based on $100/student) to place a Summer School PO. These POs should also be placed by April 27th to insure timely delivery to the student.

It is the responsibility of the Summer School ES to initiate communication with the regular school year ES to determine if a Summer School PO is needed. It is expected that the 24 hour response time policy will be adhered to in all communications between a student's Summer School ES and regular school year ES.

F. This year there will be limited summer school contract programs (Summer School CP) course offerings in the areas of mathematics and language arts. ESs may arrange courses for their students with any currently approved mathematics or language arts instructor/vendor who wishes to offer a Summer School CP course. As with materials (see E above), the regular school year ES may use regular school year IFs to set up Summer School CP courses.

For students with no remaining regular school year IFs, the student’s assigned Summer School ES may use their Summer School IFs budget (based on $100/student) to set up a Summer School CP course. These courses should also be set up by April 27th to insure a smooth transition from the regular school year to summer school.

If you are a regular year ES with summer school students who will use some of their regular year instructional funds for summer school contract programs in English or Mathematics.

When setting up a PO for a contract programs class using regular year instructional funding for a summer school student:

1. Create a service PO as usual

2. Choose dates from May 29, 2007 to June 29, 2007 (NOTE: NO contract programs sessions/meetings may occur in July; for accounting purposes, the sessions/meetings MUST be completed by June 29th )

3. In the body of the PO, write: "This PO is using regular school year funding for this summer school student"

4. Click "done" as usual

G. A summer school student must also be enrolled for the following Fall semester (school year ’08), unless they expect to graduate after summer school.

H. ES student load limit for Summer School is same as for regular school year.

I. Email Rolff Christensen (trolff@connectingwaters.org) by Friday, March 30th, if you are interested in serving as an ES for summer school AND you will attend one of the inservice sessions (see O below). Summer School employment is contingent upon approval by CW administration. In your email state that you are interested in being a Summer School ES. The subject line of your email should read: “CWCS ES interested in summer school – (your name).” Also include your name, email address, phone number(s), desired student load, and which inservice session (A or B) you will attend. Also indicate if your desired student load is for your regular school year students only, or if you would like other students as well. You will be notified by Friday, April 6th, of your Summer School employment status. If you are selected for Summer School employment, every effort will be made to meet your student load request. However, no guarantees can be made.

NOTE: Each Summer School ES must be cleared for checkout for the ’07 regular school year by his/her advisor by May 25th. Failure by a summer school ES to be cleared for checkout by May 25th may result in dismissal from summer school duties and transfer of his/her summer students to other summer school ESs. An ES who is dismissed from summer school for failure to be cleared for check out by May 25th will receive NO compensation for summer school work done prior to or on the dismissal date.

J. The Placerville office will assign students to a Summer School ES. When assigned a Summer School student, the Summer School ES must meet with the student within 5 working days to complete the Student Agreement (SA). At this meeting, it is the responsibility of the Summer School ES to determine if Summer School materials need to be ordered (see also E above).

K. Summer School ESs meet face to face with each student/parent a minimum of one hour every 5 school days. Students must meet with their summer school ES on a weekly basis, and turn in all work completed. This work will form their summer school portfolio. (Learning records are not completed during summer school.) Students must complete at least 4 hours per day of schoolwork.

L. ESs will be paid $25 per hour for 6 hours of instruction (one hour of instruction is based on one full week of student attendance) and 2 hours of prep time (this includes attendance at the Summer School ES inservice – see O below) for a total of $200 per student served completing the entire 6 weeks (at 4+ hours per day). No prep time will be paid to ESs for students not completing the entire six weeks.

Example: Flake E. Studyer (student's name) attends only 14 days of summer school, then drops. I. M. Bummed (Flake's ES) would receive $50.00 for Flake's attendance based on the fact that 14 days of enrollment = only two FULL weeks of attendance (no prep time would be paid).

M. The maximum number of credits a high school student may earn in summer school is 10.

N. Please note that students must average 4+ hours of summer school per day. At the end of the summer, a portfolio containing all work must be submitted for each student. This portfolio must justify 4 or more hours of summer school per day (average). If a student is not meeting this 4+ hour requirement, the summer school ES must attempt to remedy this deficiency immediately. In cases where the summer school ES's intervention is not heeded, the student must be dropped within 5 school days.

O. Wednesday, April 18th, Rolff Christensen will be conducting a mandatory summer school inservice to train Summer School ESs for all summer school procedures. The training will be held at the Modesto Learning Center from 1:00 – 3:00 p.m. (session A) and 3:00-5:00p.m. (session B). ESs should NOT email Rolff (see I above) indicating their interest in Summer School unless they will attend one of these inservices.

P. A Summer School ES expense stipend of $35 per student will be paid to the Summer School ES for each student that completes all 6 weeks of Summer School. No expense stipend will be paid for students not completing the entire 6 week Summer School session. This expense stipend amount is intended to cover all ES expenses including copying, postage, mileage, phone, ISP, etc.

Q. New Student Agreements (SA) must be completed for Summer School. It is the responsibility of the student’s Summer School ES to complete and sign the SA. When assigned a Summer School student, the Summer School ES must meet with the student within 5 working days to complete the SA.
