CWCS January 2007 ES Agenda

Please read the agenda, along with each of its links (links available in ES Manual for future reference.

The agenda quiz must be completed in your ES WEBfiles BEFORE 3:00 pm the work day before your ES meeting.

 

1) Dates to Remember and Dated Duties

a) January 12:  Electronic Report Cards Due for both High School and those K-8 students that have requested them according to their Student Agreements- Remember to mark the box on your high school report cards that says “done/YES” in WEBfiles by January 12th. Please make sure that you have only one report card per student and delete any extra report cards so that do not accidentally submit too many credits.

b) January 16: Our second window for Scantron testing will begin January 16th. If your student finished their initial tests October 22nd or earlier, you may begin testing as of Jan. 16. For students testing between October 22nd and December 20th, please see the attached Scantron Testing Window chart to determine when the testing begins for any test taken after Oct. 22. Please plan to finish testing each of your students within a month of their testing window. New Scantron Proctor Schedule for Spring 2007.

c) Jan. 19, 2007: Preliminary Assessments- Due to be e-mailed to your ES advisor by January 19th, all 2nd semester graduates and Summer School ('07 grads) preliminary assessments as described in the graduation procedure

d) Jan. 22-26, 2007 CWCS Benchmark Exams: The next cycle for Benchmark Testing is from January 22- 26th. Provide and explain to parents during this week or at the learning record closest to these dates, and collect the optional exams and required writing prompts at the following learning record meeting. Remember that this is a good test prep option that will not cost additional expenditures from the instructional funds!

e) January 30, 2007: Email your advisor letting them know that your mid-year check is complete per "Things to do" item below.

f) Feb. 22, 2007 All ES meeting and ES/Parent Workshops: (ESs will meet from 8:30- 3:00).

Please tell and invite your parents to the Free Parent Workshops that will held at the Modesto Centre Plaza in Modesto from 10 am-3 pm. The workshops are Free!! More details to come. Here is a tentative workshop schedule that may be subject to change. However, this provides you with some information. Please be sure that each of your 3-12th grade students have taken the PLS prior to attending the workshop. Continuing students should have taken it last year (provided by ES), and new students took it at Centralized Intake.

g) March 2, 2007: Due no later than March 2nd, to your ES Advisor, the ES Self Evaluation. Please review the ES Evaluation Procedure before completing the self-evaluation. Please date your goals when you enter them into WEBfiles. Those ESs who received a 2005/2006 Evaluation, please include a final report on these goals and attach it as page three of your self evaluation. Sample Goals have been posted to help with ideas and formatting.

h) March 9, 2007: March 9, 2007 is the last date that students can enroll for the 2006/2007 school year. No enrollment paperwork can be signed after this date.

(Enrollment Applications for 2008 are now being accepted. There is a box at the top right hand corner of the enrollment application to mark an option for school year and semester. If the student will turn 5 on or before December 2, 2007, then they may enroll for the 2008 school year.)

2) Things to Do

a) Do a Mid-year check by January 30 of your records rather than waiting until the end of the year check out and having to scramble around to try to get rollsheets, etc. from students that may no longer be accessible. Go to ES WEBfiles, and look at the following:

1. Go to “view” All Students in WEBfiles to see that there are no overdues for attendance, learning records, or student agreements

2. Click on the student numbers and look at each student’s attendance records to make sure that all rollsheets are in, with no gaps.

3. Look at each learning record to make sure that the dates match the rollsheet dates. If the dates of the learning records do not match the dates of the rollsheets, you must change the LR dates. It is easily done be clicking on the track day (number under “beg” or “ending”), deleting that number, and typing in the correct track day number… the date will automatically change…ask advisor for help if needed!)

Check here to make sure the numbers run consecutively… i.e. 1-16 track days for first LR, the next LR should start with track day 17.

4. Look at each learning record for sufficient content, new learning, appropriate standards marked, grade levels, and PLIPs and HQTs indicated when needed.

5. Check for complete transcripts for HS students and that they align with learning records (if you’ve submitted a report card for a student, but no transcript appears, make sure that you’ve clicked the “done” button... if still not there, let your advisor know)

6. Check for report cards for K-8 students if applicable

7. Check that either a drop form or a Spring student agreement is turned in for each student

8. Check on any POs that have not been processed or received in a timely manner.

9. When you've completed the above steps (please complete by Jan. 30), e-mail your advisor letting them know that it is complete using the Mid-year Checklist. We must resolve any problems now so that the end of the year checkout goes smoothly.

b) PO Check: Check each of your POs to be sure that they are marked “done” in a timely manner.  Service POs cannot be backdated and therefore must be accurately submitted prior to the first day of the course or activity!  (POs not submitted in a timely manner could result in the parents having to pay for the course or activity). Semester POs are acceptable as long as the ES breaks up the units by either session or per month costs so that if a PO needs to be canceled before the whole amount has been spent, it will make the process much easier.

c) Parent Letter and Surveys: A parent letter, a parent survey, and a student survey were sent to all students and parents. Please encourage your students and parents to complete the surveys and mail them in this month.

d) Caution, check enrollment dates! If you received a new student activation email with a date prior to the start of second semester, please be sure to check that the student did not attend their other school on or after the activation date that is sent to you by student assignment. If they did, then we will need to alter that date so that they student begins school with us on the date after their last day with their previous school. Complete a new first page of the student agreement with the correct activation date and mail it to IEM, and also send an email to stuassign@ieminc.org so that the date can be changed in the database. For example: stuassign@ieminc.org emails you on Dec. 18th that the student has been activated and added to your assigned list.  You call the family on Dec. 19th and the parent tells you that the student went to school that day. You will request that the parent provide you with the date and disenrollment sheet from the school.  The parent calls you and when you meet the sheet has Dec. 19th as the student’s disenroll date. You will send in a new first page for the student agreement and date it and beginning rollsheet for Dec. 20th for this student first day of attendance and email  stuassign@ieminc.org  with the new activation date.

f) Listserve Messages: Remember to read both the Parent and the ES listserve messages. Even if all of your parents are on the parent listserve, you still need to read the messages. If your parent is not on the Listserve, you must either forward it to their email address or print the message and take it to your learning record meeting for their information. (Please do not reply to the listserve message, but reply to the person who has written the message or who is the contact person.)

g) Graduation Participation: If you have a newly enrolled 8th grade or senior potential graduates, please be sure to give them the graduation participation forms as they will not have received them from the office. There are limited tickets for the Senior graduation. Those who submit forms late may not receive the minimum number of tickets.

h) January Newsletter: Share the CWCS January Newsletter with your parents/students.

3) Training Items

a) Rollsheet Corrections: The following has been added to the Rollsheet Corrections Policy.

“If a student’s attendance record has a gap with missing attendance dates:

The ES of record at the time that the gap occurs, will obtain a rollsheet with the missing dates. After having the parent fill out the X’s and 0’s and parent signature, the ES will sign and date the rollsheet with the same date as the date that the signature is obtained.”

b) CAHSEE

-Revised CAHSEE Letter for 12th Graders: This is being mailed to any 12th grade student that has not passed the CAHSEE. Please discuss these letters with your parents/students and collect the signed letter for student grad packet paperwork.

-CAHSEE Policy Update: A statement on CAHSEE in a Nutshell has been added stating: "If a student has completed all other graduation requirements, except for the CAHSEE, the student must take at least 10 credits per semester in each subject area still needed to pass through a HQT tutor, an online vendor, or a school CAHSEE prep course. (The student must take a total of at least 25 credits a semester.)"

Remember, per the CW Curriculum policy, that any 11th and 12th grade students that have not passed the CAHSEE, must participate in a CAHSEE PLIP.

c) Accelerated Reader: Accelerated Reader is part of “Renaissance Place”. Directions for access to this program can be found at the link above in the ES manual.

d) Under Typical High School Age: When assigning Carnegie units to students under typical high school age, please note that beginning with the 07/08 school year, any courses taken by students in this manner must be a-g courses. We wanted to forewarn you now so that when planning your students' Fall coursework, you can counsel your parents accordingly.

e) Writing Prompts:

1) Remember, all writing prompts must be handwritten, not typed. Rubrics do not have to be attached, but the samples should be graded 1-4. The prompt may be used as the Reading/Writing Sample, but does not have to be used in this area. If you have a first draft and a final draft, it would be nice to include both as parents like to show their student's best work, otherwise the first draft is fine.

2) We are working on obtaining 4 pt. writing prompts that are grade level specific. We would like ESs to mail copies (ones that would scan well) to the Waterford Office for use as samples on how to grade each prompt. Please collect samples from parents that are willing to have their student’s work posted. The name of the student will be removed. Please use the release form and include it with each sample. These samples should already be graded with a rubric of your choice. ESs asked for samples from each grade level to be posted for examples of how to grade with a rubric, and we would like to use CW Student’s work.

f) CP Courses and Activities: Except for a rare make-up day, CP courses and activities must occur on regular school days, and not weekends or school holidays.

g) Enrollment Verification: When a request for enrollment verification is needed, please refer the parent/student to the Waterford Office.

h) Optional Organization form: Thank you Shoni Johnson for this optional form to help organize the school year.

i) CWCS SARC: The CWCS School Accountability Report Card has been posted on the CWCS website.

j) CalSTRS Reports
The CalSTRS Retirement Progress Reports were mailed to STRS members in December.  Members can also access their reports by visiting www.mycalstrs.com and viewing it online. If they are not currently registered, they will need to register prior to viewing their statement. It is important that all STRS members review their statements and ensure that service credit is being recorded accurately.  Should STRS members find any inaccuracies, or have any questions, they should contact Randy Gaschler randyg@ieminc.org.

c) GUIDANCE NEWS from Mary Halter

- The University of California system has informed us that we can no longer allow a-g Biology credit for students taking the NDIS Biology course unless they complete a supplemental onsite lab session. For those students seeking a-g credit, we are providing a supplemental one day lab that must be taken in addition to the lab kits supplied by NDIS. Please sign up your NDIS Biology students for this lab if they are seeking a-g credit, Lab is on Wednesday Feb 22 12noon to 4pm, cost is $95. Please see "guidance news" link above for specific instructions.

-IT has put the CSIS ID (Calif Student Info System) on the ES student detail layout, in case ESs need it. Some colleges may be requiring it on their applications.

-New CW Computer Repair vendor: Gizmo’s Computer Service

(You may drop the computer off at a learning center, but please make sure you submit a PO before dropping off computers at the Learning Center to be picked up for repair or refresh. These computers need to be clearly marked with your contact information. Once the computer has been returned to the Learning Center, you will have 2 weeks to pick it up or we will make it available to another family for check out.)

-The service PO start/end dates now appear to the right of the ESPODetail layout.

f) VENDOR RELATIONS

-Please remember to check all packing lists and compare them to what was delivered, and then in addition to marking the POs complete, mark each line item in WEBfiles as either received, B/O or Canceled.

- Great new Test Prep Online Vendor: Study Island, www.studyisland.com, (Choose “CA” for the state, and then choose test drive to look at a demo) an online test prep program based on CA state standards that is interactive and provides instruction with immediate feedback. It preps for grades 2 -8 in ELA and Math with also science for grade 5 and science and history for 8th grade. They have a one-time fee of $49 per grade. This does not expire and can be used in future years for additional students, which would be great for families with siblings coming up! Of course they would have to remember their log-in information.Study Island would like to have the following information included in the body of the PO: Student Name, Grade, User Name, Password

From their website: "Students simply logon to www.studyisland.com to access the program. Students who have fully completed the program have seen an average of a 12.2% increase in scores on the state-mandated California Standards Test (CST). Completing the program takes anywhere from 10 to 50 hours depending on the student's academic performance level."

5) ES Networking

a) Portfolio Sharing: All ESs bring one portfolio with at least the 1st semester complete (correct envelope/labels/checklist/samples, etc) for sharing with ES group.

b) Please communicate any specific curriculum needs regarding Learning Styles that you would like addressed by our February ES meeting speaker.

c) Please tell your AF which date works best for you in April for your ES meeting and Portfolio Collection. The ES Agenda will be posted Wednesday, April 4th, so each group can choose their meeting date anytime from April 16- 30th (April 9-13 is Spring Break).
